Orders: Fulfill, Refund, Cancel
An order moves through clear stages: placed, payment captured, fulfilled (packed and shipped), and delivered. Each stage is visible in the Orders section of the Admin.

Orders also track a financial status (paid, pending, refunded) separately from a fulfillment status (unfulfilled, fulfilled, partially fulfilled) — these are two different things.
Real-life example: A restaurant order has two clocks running — has the bill been paid, and has the food left the kitchen? Shopify tracks payment status and fulfillment status the same separate way.
Fulfilling an order
Fulfilling an order means marking the items as packed and shipped, usually with a tracking number added so the customer gets an automatic shipping notification.
You can fulfill an entire order at once, or partially fulfill it if only some items are ready to ship (common when a product is on backorder).
Real-life example: Fulfilling an order is like a courier company scanning a parcel as 'dispatched' — the customer instantly gets a notification once you tell Shopify it left the building.

Refunds and cancellations
A refund returns money to the customer, either in full or partially, and can be issued with or without restocking the inventory automatically.
A cancellation stops an order before it ships — useful for fraud concerns, customer changes of mind, or out-of-stock situations, and can trigger a refund if payment was already captured.
Real-life example: A refund is handing money back after the customer already has the item at home. A cancellation is stopping the delivery van before it even leaves the warehouse.
Customer changed mind before shipping -> Cancel order (+ refund if paid)
Item damaged in transit -> Refund (partial or full), keep order record
Wrong size sent, exchange requested -> Refund original, create new order
Fraud suspected -> Cancel order, do not fulfill
